Mandatory Direct Deposit Requirement
 
Last year's budget was very challenging, with the District looking at all possible means of generating cost savings.  One cost savings approach that was identified during that time, and shared with the Board, was to require all employees to switch to direct deposit and to give them the ability to electronically view or print out their pay stubs.  We recognize that there are still some employees who receive paychecks and this change will impact them the most.  We will give ample time for those of you still receiving paychecks to make arrangements with a financial institution of your choosing, to get started on direct deposit.  Many financial institutions provide additional benefits for employees who utilize direct deposit services into their financial institution.     
 
A recent update of our payroll system includes the ability to make our employees' paycheck information available electronically.  Employees will be able to access their paycheck history through our district website.  Beginning February 1, 2012, individuals already on direct deposit will have the ability to go online and get their pay stub information.  They can print it out if they desire and still have that piece of paper to take home with them or they can simply record the information they need.  As of April 1st, 2012, the district will no longer be printing pay checks or pay stubs for employees.  We will still have the ability to issue a paycheck or pay stub on an emergency basis, but that will be the exception and not the norm.     
 
Why are we doing this? 
 
By making the statements available to staff in this manner, we will reduce our printing and supply costs and our labor efforts to prepare and distribute the statements.  Additionally, we will no longer need to pay to mail the statements over the summer months, further increasing our savings. 
 
How do employees access this information?
 
Attached is the "Employee Portal User Quick Reference Guide" which will walk you through the process.  We are also looking to create a training video to distribute and we will conduct training sessions to demonstrate the relative ease of this process.   
 
What about substitutes, coaches and temporary staff - how will they get paid? 
 
All employees will be required to provide direct deposit information for payroll purposes when they are hired by the District including substitutes and coaches.  They will receive their pay like everyone else - through Direct Deposit.
